Patient Billing Coordinator

REPORTS TO: Chief Technology and Compliance Officer
FLSA STATUS: Exempt, part-time (20 hours per week)

Position Summary*:
Under the general direction of the CTCO, the Patient Billing Coordinator liaises with third party billing company to ensure accurate and prompt payment of accounts, optimization of reimbursement, and maintenance of related management practices that conform to federal standards, managed care contracts, and other regulatory requirements.

Principal Duties and Responsibilities*:

  1. Using Centricity Practice System, oversee the reimbursement and management of accounts receivable, application and deposit of cash receipts, follow-up billing, and maintenance of related records and accounts.   Reviews ICD9 and CPT coding for insured patients to ensure maximum reimbursement and minimal denials.
  2. Together with CTCO and Finance staff, creates and maintains policies and procedures related to billing, collections and bad debt write-offs including financial assessments, sliding fee allowances, and patient financial responsibilities.
  3. Monitor the aging of patient accounts receivable and develops action plans to ensure timely collections that maximize reimbursement.  Interfaces with all third party payers as needed to resolve claims payment issues and reduce the days of revenue in accounts receivable.
  4. Maintain training programs to ensure data entry standardization, accuracy and integrity as well as adherence to collections policies and procedures. 
  5. Assure accuracy of data collection and proper adherence to established billing and collections procedures.
  6. Review all managed care contracts and ensures proper setup is completed in Centricity billing system to maximize reimbursement. Together with Human Resources Director, manages the insurance board application process for all medical and behavioral health providers at Howard Brown.
  7. Adhere to policies and procedures necessary to ensure proper data gathering for the timely collection of all patient accounts.
  8. Ensures accurate maintenance of financial records to ensure compliance with public or private grant requirements.
  9. Responsible for creating and furnishing A\R financial reports, monitoring aging accounts, communicating with patients regarding balances, and overall maintenance of patient financial records.
  10. Participates in the development of health center policies, procedures and protocols to ensure the delivery of high quality health services.  Performs other duties as needed.

Working Conditions:
Pleasant, casual environment.  Space is limited and must be shared for most appropriate usage. Subject to high stress and irregular hours.  Occasional evenings and weekends.

Knowledge, Skills and Abilities:
Bachelor’s degree in accounting/finance or equivalent education and experience.  Three to five years experience required in a medical and/or behavioral health billing capacity, specifically in the areas of practice management, direct patient and 3rd party billing, and A/R.  Demonstrated ability to interpret and apply standard ICD-9 and CPT coding practices.  Experience in Medicaid, Medicare, managed care, and 3rd party billing required.  Demonstrated superb written and verbal communication skills required. Knowledge of Centricity Practice Management System or equivalent highly desired.
